Roles and confidentiality
For the sake of confidentiality, only direct participants can view a task: the person who created this task, the task assignee, and followers selected in this task. They can also view nested subtasks at all levels below. Their managers can also view the task (managers have the same permissions as their subordinates). The whole system is based on this principle. Therefore, if other employees created tasks and did not add you to the participants, you don‘t see such tasks.
The same confidentiality works for a started process - only direct participants can view it: the person who started the process, followers selected in the process setting, and participants of tasks in this process.
All participants of a process or a task can add comments, and can also - within a period of 5 minutes - delete any comments they added.
There are the following roles (participants) in every task:
- The person who created the task - can add, change, or delete any information in the task, including changing an assignee, and adding/deleting followers. This person can select the following task statuses: Completed, Canceled (at any time before task completion) and In progress (after task completion this will send the task to the assignee for re-doing the task).
- Assignee - can change the task status to Completed (mark the task as completed) and can add/delete followers. The assignee can select another task assignee (delegate the task to another employee).
- Follower - sees all the information in the task and can add comments, but cannot change any information in the task including its status. They can exclude themselves from the participants in the task, but cannot add other followers - this is to keep the information confidential.
All participants of a process can see the map of this process which displays all tasks in the process along with their statuses.
The person who started the process can cancel it at any time before process completion.
External assignee can view tasks to which they have been added, but cannot create tasks and cannot see the Employee list. Thus, an external assignee can complete tasks assigned to them and add comments to tasks. The external assignee has the special briefcase icon with their avatar.
